Qualifications
High school diploma or equivalent
Minimum of 1-2 years of direct medical office administrative assistant/receptionist/coordinator experience
Experience working with medical software, such as electronic medical record system
Customer service experience
Bi-lingual in Spanish and English preferred
Extensive experience working with diverse computer software, as well as Internet research abilities
Strong communication and customer service skills
Demonstrated ability to work with diverse clientele
Willingness and ability to be flexible with schedule to meet program needs
Strong organizational skills.
Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)
Proficient in navigating electronic medical record systems
Ability to work in an organized, quick and accurate manner in a busy environment while handling multiple priorities and maintaining regulatory requirements.
Demonstrates a commitment to teamwork

Responsibilities
Adventist HealthCares Outpatient Diabetes Education Program provides diabetes self-management education and gestational diabetes consultation to a diverse patient population. The Program Assistant for the Outpatient Diabetes Education Program maintains a variety of clerical and business related systems to ensure effective operation of the program. This position reports to the Adventist HealthCare Center for Health Equity and Wellness program manager.
Performs administrative and office support activities. Duties include:
Answering telephone calls and providing information about diabetes program
Obtaining and processing new patients referrals
Scheduling and reschedule patients appointments
Verifying patients insurance information, contacting insurance companies
Registering patients in electronic medical record
Providing reminder phone calls to patients
Filing and record keeping duties
Data entry, creating and maintaining spreadsheets
Pulling data and generating reports
Contacting doctors offices to obtain patient lab results and other relevant information
Ensuring all related reports, labs and information are filed in patients medical records prior to their appointment
Updating marketing and promotional materials, as needed
Assisting with coordination of community based diabetes education program
May assist with overflow work from executive assistants as needed.
